Summary of Management Meeting 9 July 2009

The meeting spent much time discussing how best to achieve an open and forward moving club. It was agreed that asking members for ideas and opinions can lead to problems, either being asked for things we cannot do or do not agree with. The committee agreed to at least endeavour to be more open in its response to members’ needs and requests and to rationalise any decisions made, even if against a member’s opinion.
The committee also recognised Mike Rounds contribution to the committee and were saddened by his resignation last month. He was a sound and valued member of the committee, often cutting through to the key issues and bringing us back to the core values of the club. We reminded ourselves of these values;
to allow youngsters in the County to learn and play basketball in a safe environment,
that we, as coaches, team managers and committee members, should conduct ourselves in a respectful and courteous manner at all times.
The club website will be tidied up before the new season with old reports archived and updates to current coaches, teams and committee. Directions to the centre (NBC) have now been put on the website for visiting teams and prospective players.
Arrangements for the club social evening and Quiz were discussed; a flier will be distributed to coaches to pass to their teams. This will take place at ONs on Friday 11th September 7pm for a 7.30 start. It is hoped coaches will be able to attend as it will give an opportunity to meet with parents and carers in a social environment.
The committee recognised that NSG Headteacher Penny Westwood was retiring at the end of this term. Her support and drive to help us have the centre built and available to us to play has been tremendous and the club will acknowledge this.
Policies are still being reviewed. A draft complaints/disciplinary process was circulated and will need to be finalised for the start of the season. A finance policy was written and circulated by Mike Round before his resignation. Child protection and first aid/incident policies need to be drawn up for the club.
On a financial front the club is just about breaking even this season. It has also investigated the possibility of freezing last season’s membership fees with similar payment methodology. However, it was noted that a few players still owe money from last season and some have not responded to our requests and letters. Coaches will be informed of these players as they may have a better relationship with the parents or have an understanding of why payments cannot/have not been made. Ultimately though, non-payment will result in the player being ineligible for the new season.
Karen confirmed that the new season’s training schedule is completed and thanks to a few coaches who have moved around everyone has just about got what they need.
Natascha Wiese has continued to promote basketball club in the town and county on behalf of the club
